This privacy notice is effective from 29 August 2026. It covers website visitors, prospective and current customers, supplier and contractor contacts, venue and project stakeholders, job applicants and other business contacts. Separate notices may apply to employees or activities that require more detailed information.

Pro Technical is the controller responsible for the personal information described in this notice. Our current legal identity, registered-office information, business address, telephone number and email address are published on the Contact page and in the website footer. Use those details for privacy questions, rights requests or complaints.

Depending on our relationship, we may collect names, organisation and job details, postal and site addresses, telephone numbers, email addresses, enquiry and correspondence content, quotation and contract information, order and payment records, project requirements, venue information, service history, equipment and warranty records, delivery details, marketing preferences, recruitment information and any files deliberately attached to an enquiry. Please do not send unnecessary special-category or highly confidential information through the website form.

When the website or contact form is used, our hosting and security services may process IP address, date and time, requested URL, browser or device information, referral information, security events and form-submission diagnostics. The site stores a browser consent preference and uses a short-lived PHP session for form security. Google reCAPTCHA may process device and interaction information when enabled.

Most information comes directly from you through forms, email, telephone calls, meetings, orders, site visits and correspondence. We may also receive relevant business contact or project information from your employer, colleagues, architects, consultants, contractors, manufacturers, suppliers, delivery providers, professional bodies, event contacts, referrals or legitimate public business sources. Where required, we provide privacy information within the applicable period.

We use information to respond to enquiries and take requested steps before a contract; perform contracts and deliver quotations, products, installations, maintenance and support; administer accounts, warranties and supplier relationships; comply with tax, accounting, safety and other legal duties; establish, exercise or defend legal claims; prevent fraud and secure our systems; and improve our operations. The relevant lawful bases are contract or pre-contract steps, legal obligation, and legitimate interests in operating and protecting a commercial AV business. Consent is used only where it is appropriate and can be withdrawn.

Where we rely on legitimate interests, those interests may include responding to business enquiries, managing customer and supplier relationships, maintaining project and service records, improving services, securing systems, preventing misuse, recovering debts and communicating relevant business-to-business information. We consider necessity, proportionality and the effect on individuals before relying on this basis. You may object where the law gives you that right.

We may send relevant business-to-business communications where permitted by data-protection law and the Privacy and Electronic Communications Regulations. Consent is obtained where required. Every electronic marketing message should provide a straightforward opt-out, and you may object to direct marketing at any time. We do not sell personal information or use purchased consumer marketing lists.

The Cookie Policy identifies the storage and access technologies used by this website. Necessary security and consent-preference technologies may operate without optional-cookie consent where the law permits. Google Tag Manager, Analytics or other optional measurement and advertising tools are loaded only after the visitor accepts optional cookies when they are configured in this website. A visitor can reject optional cookies as easily as accepting them and can reopen Cookie settings from the footer.

When reCAPTCHA is enabled on the contact form, Google processes information needed to distinguish legitimate submissions from abuse. This may include device, browser, IP-address and interaction information. We use it for website and form security based on our legitimate interests. Google acts under its own terms and privacy information, and its processing may involve locations outside the UK.

Some technology providers, including Google and other cloud or communications suppliers, may process information outside the UK. Where UK data-protection law restricts a transfer, we use an applicable UK adequacy regulation, the UK International Data Transfer Agreement or UK Addendum, or another permitted safeguard, and apply supplementary measures where appropriate. We use a retention schedule rather than keeping information indefinitely. As a general starting point, unsuccessful enquiries are reviewed for deletion after 24 months; customer, supplier, project, contractual, warranty and accounting records are commonly retained for up to six years after the relationship or relevant financial period; routine security logs are kept for a shorter operational period; recruitment records for unsuccessful applicants are normally reviewed after six months; and marketing records are kept until opt-out or when continued retention is no longer justified. A legal claim, warranty, safeguarding issue or statutory duty may require a different period. Information is deleted, anonymised or securely destroyed when no longer required.

We use proportionate technical and organisational measures designed to prevent unauthorised access, alteration, loss or disclosure. Measures may include access controls, supported software, encrypted connections, protected configuration, backups, staff awareness, supplier controls and incident procedures. No internet or email transmission is completely secure, so please use an agreed secure method for sensitive project or personal information.

Depending on the processing and lawful basis, you may ask for access to your information, correction, erasure, restriction, portability or withdrawal of consent, and you may object to processing. The right to object to direct marketing is absolute. You may also ask for safeguards where a significant decision is made solely by automated processing. We may need to verify identity and may request clarification; applicable response periods and lawful exemptions still apply.

We do not use website information to make solely automated decisions that produce legal or similarly significant effects. The website and commercial services are directed at organisations and adult decision-makers, not children. Contact us if you believe a child has supplied personal information unexpectedly.

You can make a data-protection complaint using the email, telephone or postal details on the Contact page. We will acknowledge a complaint within 30 days, make appropriate enquiries without undue delay, keep you informed where necessary and explain the outcome. Please contact us first so we have an opportunity to resolve the concern.
